Level 2: Introduction to Purchase Manager or Direct Buyer

"Hello, I am [Name] from Barai Overseas." pause

"Look [ Sir Manager Name, if available], I’ll keep it brief, as I appreciate, you’re a busy person. I came across [Buyer Company Name] online, and I can see you are in the business of [Products]. Have you got 30 seconds to let me explain the nature of my call?”

I am the Marketing Executive for [Your Company Name]: We are an emerging exporter of [Your Products]. We came to know that our [Products] would be the best match for your company and we can provide you with the products at the most affordable prices and of the best quality.

Would you be interested in a quotation? I’ll ensure it doesn’t take up too much of your time. In fact, it will assist you and your company to explore different options to choose from

In order to provide an accurate and detailed quotation, we require a few shipping details:

Shipping Details:

"How much of [Product] do you need?"

"What type of packaging would you prefer?"

"Where would you like the [Product] to be delivered?"

"What is your ideal price for this delivery?" There may be some negotiation here, depending on their ideal price and your price.

"Usually, my company is paid via [Typical Payment Method]However, in the interests of assisting you, what is your preferred payment method for this shipment?"

"Are there any other shipment details or requests that I should take into account?"

"The typical certifications that come with an order like this are [Certifications]. What certifications or quality parameters do you prefer?"

"Do you have any queries before I end this call?"

Could I have your personal email address or phone number to keep in contact with you?

Ending:

"All right. Thank you for answering those questions. I will forward these details to the appropriate team, and get the process started in due time. If you need to contact us, the company number is [Number] and the company email is [Email Address]. I look forward to doing business with you in the future. Have a nice day!"

BONUS TIPS :

Start Building Rapport with the Buyer or Purchase Manager

Ask them a generalized question to build trust and a personal bond. For Example:

  • “Do you have any pets?”

  • “How is your family doing?”

  • “What did you do last weekend?”

  • “How has your day been?”

Continue a casual conversation and consider asking a follow-up question IF they seem receptive. IF they ask, 'Why are you calling?' Laugh briefly to lighten the mood and continue

Persuading the Purchase Manager

"I work with people in the import business who are interested in buying [Relevant Products]. Our customers typically look to [Customer Intent]. Does that sound like something you would be interested in?"

This informally asks if your business appeals to them.

IF the answer is No, ask what their company does to see if you can assist with that.

IF the answer is yes, just continue with the script.

"Tell me more about your typical operation; the good and the bad."

This is to let the buyer talk about their problems and give you more information. Listen to what they say, taking notes if needed.

"So, what I understand is ..."

Talk about the summarized good and bad points the buyer mentioned. This shows them that you care about their needs, therefore, building trust.

Wait for them to agree or add in detail before moving on.

"I think I can help you with those issues and retain the benefits you mentioned."

Elaborate on your service if necessary

Now, you can either schedule a discovery call, or you can continue the call to collect the shipping details

Optional: "Would you like to detail your import preferences by email or on-call?"

Say this if you or the buyer can't stay on call for a long time
